INFORMATION ON THE PROCESSING OF PERSONAL DATA OF EFPP CONFERENCE 2024 PSYCHOANALYTIC PSYCHOTHERAPY AND RELATEDNESS IN STORMY TIMES
Based on Article 13 paragraph 1-2 of REGULATION (EU) 2016/679 OF THE EUROPEAN PARLIAMENT AND OF THE COUNCIL
of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (GDPR) we are providing you with the information required by law.
PERSONAL DATA CONTROLLER
The controller of the personal data of the European Federation for Psychoanalytic Psychotherapy: EFPP Conference 2024. Psychoanalytic Psychotherapy and Relatedness in Stormy Times Participants, is its co-organizer, the Group Analysis Rasztow (Instytut Analizy Grupowej Rasztów, IAGR):

PERSONAL DATA PROCESSING PURPOSES
The personal data provided is processed on the basis of individual decisions of Participants to participate in the Conference, for the purpose of the Conference organization, and in the case of additional consents – to inform about various conferences and other scientific events taken by EFPP, co-organizer of the Conference.
The legal basis for processing is article 6 paragraph 1 letters a, b, f of GDPR (respectively: the processing is based on the consent of the data subject; the processing is necessary to fulfill the contract to which the data subject is a party;
it’s necessary for the purposes of legitimate interests of the controller).
RECEPIENTS OF PERSONAL DATA
Access to your personal data within the organizational structure of the IAGR will only be available to authorized employees of these entities and only to the extent necessary to carry out professional duties.
Conference participants’ data (name, surname) may be forwarded to Orbis Hotel Group (the owner of the Novotel Hotel Warsaw, i.e. the place where the Conference is organized), to identify the persons participating in the Conference.
Your data will also be transferred pursuant to article 28 GDPR to entities cooperating with the Controller (e.g. accounting, legal services, hosting, etc.).
If additional consent is given, the data will be transferred to the EFPP Board members, as a co-organizer of the Conference, for the purpose of providing information about the co-organizer’s activities.
PERSONAL DATA STORING PERIODS
Personal data processed by IAGR will be stored for the period necessary to achieve the archiving purposes arising from legal requirements or necessary to fulfill the obligations resulting from other legal requirements (including accounting, financial, tax obligations).
Personal data of persons consenting to the transmission of information by e-mail, will be processed until the usefulness of such data for information purposes ceases or consent is withdrawn.
PERSONAL DATA CATEGORIES
Controller will process the following data of Conference participants, in particular:
- identification data of persons completing application forms to participate in the Conference (e.g. name, surname, address of residence, region),
- contact details of the person submitting their participation in the Conference (e.g. email address, telephone number),
- preferred choices regarding the extent of participation in the Conference (e.g. optional classes, participation in seminars, ceremonies),
- data contained in cookies related to the functioning of the Conference website,
- consents of participants regarding information activities,
- varied forms of Conference participation confirmation (e.g. signed attendance lists, consents, statements),
- bank account number, debit/credit card details and address of the person paying for the participation in the Conference, information on payments,
- images of participants recorded during the Conference
RIGHTS OF THE DATA SUBJECTS
The Conference participants have the right to access their data, the right to rectify it and to limit processing. With regard to data processed for the purpose of participation in future conferences, the Participants also have the right to withdraw consent and to delete his personal data processed for this purpose.
In the case of data processed on the basis of the Controller’s justified purpose, in special circumstances the Participant has the right to object to the processing.

RIGHT TO LODGE A COMPLAINT WITH A SUPERVISORY AUTHORITY
Conference participants living or working in Poland, as well as other Participants whose data is processed for the purposes of the Conference organization, have the right to lodge a complaint to the personal data protection supervisory authority, which in Poland is The President of the Personal Data Protection Office (address: ul. Stawki 2, 00-193 Warsaw, Poland),
if they consider that the processing of their personal data violates the provisions of the GDPR.
CONSEQUENCES OF NOT SUBMITTING PERSONAL DATA
Providing personal data is voluntary, but it is necessary for the Conference organization. Without providing specific data, it’s not possible to sign up and participate in the Conference, and to obtain confirmation of participation.
